Contact Information Regarding Tenant Complaints

One role of the property owner or managing agent is to do your due diligence to resolve tenant complaints on-site.

 

If the situation needs to be escalated to the attention of RIHousing, please be sure that any written material, flyers or oral communication you have contains the correct RIHousing phone number.

Procorem Users for LIHTC Projects

RIHousing’s Asset Managers have begun using our Procorem software to conduct our compliance testing.

 

As we test, users should expect to receive exceptions and clarification requests, which may result in data discrepancy clean-up. This testing may result in numerous emails, and we want to thank everyone for their expected cooperation.

Helpful Information for Procorem Users

  • Procorem doesn’t know when tasks are completed unless a person clicks a button. For our owners or agent partners, that button is either the checkbox on the list of tasks or the “Mark as Complete” button next to the name of an assignee in the task itself.

  • Users may toggle their notifications to deliver Daily, Weekly, or Never in their Preferences. You can get to this option by clicking your name in the top right corner of Procorem. Don't worry, this will not turn off all notifications; this setting applies only to posts, uploads, and downloads. All changes to any task will always be relayed via email. If a reminder is built into any task that you are assigned to, an email will always be generated.

  • Users may choose to receive Immediate Emails, Digest Emails, or both. What’s a Digest Email? It’s a once-daily delivery of all things Procorem; again, this does not apply to Tasks. It’s an easy way to clean up your inbox and reduce the number of system-generated emails. This setting is available in each workcenter that you have access to. Simply click on your name in the Collaborators menu of any workcenter from the Files page and make your choice.

  • When uploading files to Procorem for the purpose of completing a task, kindly use the designated folders provided. Your Asset Managers rely on you to keep the workcenters organized. Remember, your Asset Manager has many, many more workcenters to look at than you do, and it’s a big help to them if they don’t have to hunt for the documents they need.

  • Use the Calendar feature in a workcenter to keep an eye on your upcoming due dates or past due tasks.

  • Do not ignore system notifications. The goal of a workcenter is to create a level of never-before-seen transparency, including relevant documents and due dates associated with assigned tasks specific to your property, as well as alleviate the need for your Asset Manager to take the time to write all of the e-mails that go along with an inspection.

  • Monthly XML uploads must always have a Reporting Start Date of January 1st of the compliance year that you’re working on. Upload, work through the errors, and Validate. If you submit monthly, you’re working too hard (and so is your Asset Manager). By submitting your tenant events before the close of a compliance year, you are essentially locking that compliance review year, and your Asset Manager has to unlock it for you.

  • New users must submit a Procorem User Authorization Form available in the Procorem Resources section of our Training & Opportunities page.
